Activity and undo

Every change at the barn, who made it, what it was before and after, and a way back.

What Activity is

1barn writes down each change as it's saved: a horse's weight, a care plan line, a person's phone, a time entry, a setting. Each line says who made it, when, from where (the web, the phone app, the Time Clock, Ask 1barn, an import or 1barn's hourly check), the record it's on, and the value before and after. Changes saved together read as one: “Sam changed 3 answers on Belle's vet day form” is one entry with three lines.

Nothing in Activity is ever edited or deleted. An undo is a new entry of its own.

Where to find it

  1. The barn's owner and managers: Activity in the menu (on a phone, under More). Filter by horse, person, who made it and dates, or pick an area: Horses, Health, Care plans, People, Service days, Schedule, Time, Pay, Settings and more.
  2. On a horse's page: ⋯ → Activity, everything that changed on that horse. What happened before Activity started is folded underneath, read from the horse's history.
  3. On a person's page: ⋯ → Activity, with Changes to them and Changes they made. An organization's Activity also shows its contacts being added, moved or removed (“added Erin Shaw as a contact of ISU Vet Med”), the same change that shows on the contact's own Activity.
  4. Boarders and families: More → Activity, the changes to your horses and your own profile.

Who sees what

The owner and managers see the barn's Activity; the Pay area only with the Pay permission. Staff see the Activity of the horses they work with, without Pay or people's details, and can undo their own changes.

A boarder, lessee or family member sees changes to their own horses (a lessee while the lease runs, and once it ends, the changes up to its end date) and to their own profile, and nothing else: no care log, no staff comments, no records the barn keeps internal. Changes the barn's staff, Ask 1barn, an import or the hourly check made read as the barn's name.

Values Activity never keeps

Pay rates, punch codes and birth dates are logged as changed, by whom and when, never their values. Pay rates stay in Pay history, for people with the Pay permission; birth dates stay on the person's profile.

Undoing a change

Press Undo on a line, or Undo all on an entry. The value before goes back, but only while the record still holds the value that change set. If someone changed it again since, the line says so and links to the newer change: undo that one first, and the older one can be undone again. An undo is logged like any change, so it can be put back with Redo or by undoing the undo.

When the barn undoes a change a boarder made to their horse or profile, the boarder gets a notice (“Summit undid your change to Belle's record”) unless whoever undoes it unticks Let them know. Boarders can turn these off under My profile → Notifications.

An import is one entry, so a bad import can be undone in one step: each value it set goes back if nothing has changed it since, and records it added are deleted if nobody has touched them, archived if something refers to them, and kept if someone edited them since. Time entries it brought into a closed pay period stay as they are, and breaks it replaced go back while their time entry hasn't changed since. What was skipped is listed.

An import, or any change with more than 200 lines, is undone in the background: the entry shows “Undoing… 1,240 of 8,904” and keeps going if you leave the page, then says what it did (“Undone 8,892, 12 skipped because they changed since: see them”). If it stops partway, what it already undid stays undone; Finish the undo picks up where it stopped.

What can't be undone here

Money (charges, payments, cards, fees), anything sent (messages, emails, notices, documents sent to sign), signatures, closing a pay period, merging people, logins and invites. Each says where to correct it instead: a pay period reopens from Time, a charge is reversed on the account, a login changes under Roles and access.

Punches

Each clock in, clock out and break, from the Time Clock, the app or the web, is its own entry under Punches, so an edited time entry always shows what was actually punched. Punches stay out of the All view (turn on Show punches) and show on the person's Activity. They aren't undone; edit the time entry instead, and that edit is logged too.

Sign-in history

Everyone can see their own sign-ins under My profile → Sign-ins: when, how (Google, Apple, an email link or code, a passkey, a password), from which app and device, and any failed attempts, with Sign out everywhere. A sign-in from a device or place your login hasn't used before emails you (“New sign-in to 1barn: Chrome on a Mac, near Ames, IA”), so a sign-in that wasn't you doesn't go unnoticed. The barn's owner, and managers with the Logins permission, see the sign-ins of the barn's people into this barn.

Asking about changes

Ask 1barn reads Activity: “What changed on Belle this week?” It sees only what you could see on the page. Asked to undo something, it shows each line's before and after first, and nothing changes until you say yes.

Activity is kept for 7 years, then deleted month by month. It starts the day your barn got it: older history stays where it was, on each horse's folded history.
