Horses
Everything the barn knows about a horse lives on one page.
Finding a horse
The Horses page has a search box: type the start of any word of the horse's name or registered name (“star” finds Lucky Star). The Active chip, where the page starts, shows every horse that isn't archived, whatever its status; Not healthy, there while any horse is injured, rehabbing or sick, shows just those; Archived shows the rest. Each chip says how many it holds, and the search and chip stay in the page's address, so a bookmark comes back to the same list. A horse that isn't healthy carries a small tag beside its status. Click a heading to sort; Height sorts by the actual height, so 15.3 comes before 16.0.
The profile
A horse has two names. Its Name is what the barn calls it, and it's the name every screen shows. Its Registered name, if it has papers, is what's on them; the Horses list and the top of the horse's page show it in gray beside the name. Only the name is required.
The profile holds the name and registered name, breed, color, sex, foal year and foaling date, weight, height, uses and status. Staff click Edit and each value turns into its box right where it was; Save or Cancel at the bottom. The owner of a horse can read it from their own barn page.
Height
Height is in hands and inches, to the half inch: 15.2½ hh is fifteen hands two and a half inches. When editing, type it the way you'd say it (15.2, 15.2½, 15.2.5, 15h 2.5in) or in inches (62.5in; a miniature's 38 is read as inches), or pick the hands and the inches, half inches included, from the two menus beside the box.
Health status
The Health status card says how the horse is: Healthy, Injured, Rehabbing or Sick, since when, and a line of why (“abscess, front left”). Staff pick a new status from the menu, set the day it started (today unless you change it) and a note, and Save; the card changes at once. Every change is kept, so the card lists the stretches before it: “Rehabbing · Mar 3 – Apr 12”. The horse's owners, and contacts who can see the horse, read it; only staff change it. A horse that isn't healthy is flagged on the Horses list and at the top of Horses → Care, so whoever feeds knows.
Status
Status is where the horse is in its life at the barn, and staff set it on the profile:
- Active: here and in work.
- Retired: still here, out of work. Whether it teaches lessons is set apart, on the Lesson program card.
- Departed: has left the barn. Its owners stop counting as boarders on the People page; its records stay.
When a horse leaves
Marking a horse Departed (on its departure date, today unless set) or archiving it (today) ends its home, its turnout and anywhere else it was assigned, that day, and says which: “Ending Stella's stall (Barn A · 12).” Its owners stay as they are, and bringing it back doesn't put the stall back.
Its lessons aren't changed for it. A sheet lists the lessons it's on from that day, “3 upcoming lessons have Stella”, with a picker for each: the horses that could take that lesson, and the ones that can't with the reason (injured, resting that day, already in a lesson then). Pick a substitute for each, or Use Cody for all to fill every lesson Cody can take, then save; or choose Leave as is, and the lesson keeps the horse with its warning. A substitute is saved like any change of horse on a lesson: it shows at once, or, if your barn drafts the schedule, waits until you publish, when riders and instructors are told.
Archiving a horse
Archiving is separate from status: it takes a horse off the Horses list and every place a horse is picked (service days, records, stalls, the assistant). Use it for a horse that has left and that nobody needs to see day to day, or one entered by mistake. The Archive card is at the foot of the horse's page, for staff, and asks before it acts. Its records, notes and history are left as they are, but its stall ends and its lessons are listed for a substitute, as above; Unarchive on the same card puts it back on the lists.
Owners and who pays
A horse can have several people attached: owners, a billing party, and anyone who speaks for the horse. These are dated, so a sale is recorded as history rather than overwritten. The Ownership card on the horse's page manages them.
Where it lives
Location has two lines, Home (where the horse lives) and Turnout (where it goes out; not whether it's out right now, which is the turnout task in the care rounds). Each has Change home or Change turnout, and a red Remove home or Remove from turnout last. With neither set, the lines say No home yet with Choose a home, and None with Choose turnout. A horse that lives in a pasture goes out there too, and the Turnout line says where it lives; changing or removing one of the two then asks about the other, with the usual answer picked. Remove home asks Where is it going? first: Another space here (pick the new home), Leaving the barn (Record a departure, which ends everything), or Not sure yet (it shows as No home yet until you choose one). Giving notice sets a leaving date, and the dashboard says which stalls are about to open.
Photos
Add a profile photo from the horse's page; it appears everywhere the horse is named. Staff can change it; owners see it.
Health records and renewals
- Add a record under Records: vaccination, Coggins, dental, farrier, deworming, or anything else, with its date and notes (internal unless you share them).
- Set how often each kind is due under Settings. Renewals then show on the horse and on the dashboard as due soon or overdue.
- Attach the vet's paperwork to the record; it files on the horse.
When the vet or farrier did several horses, Horses → Records → Add records files the same record for each in one save: pick what was done, the date, who did it, the product and lot, tick the horses (search, tick all, or tick a whole barn at once), and save. Each horse gets its own record and its own next due date. Papers work the same way, with each horse's own number beside its name. If one of the horses can't take it (archived, say), nothing is saved and the page says why.
The top of the same tab says how many things are overdue, due soon and never recorded across the barn (from records' next due dates and papers' expiry dates), with the first few of each; See all lists the rest, most urgent first. Below that is every record and paper, newest first, 25 at a time with Show more. Search it (horse, kind, product, vet, notes), or narrow it by kind, horse, the dates it was done, or a status chip.
A record's or paper's notes are written in the same editor as Messages: bold, lists and links. They are internal unless you turn on Share notes with the owner under the notes box; the owner can see the record itself either way (unless you untick The owner can see this record). On the horse's page the notes show under each record with an Internal or Shared with owner tag; click the tag to change it. In Horses → Records a note icon on a row opens its notes; on a phone they show under the row.
Notes
The Notes card at the foot of a horse's page is for anything worth writing down that isn't a record. Click Add a note… to open the editor (bold, lists, links; ⌘ or Ctrl + Enter adds it). A note is Staff only until you pick otherwise in the menu beside Add: Share with owners or Everyone.
The emergency card
One card per horse: who decides, who to call in what order, what the barn may do without reaching anyone, and the vet and farrier on record. Owners can fill in their own; staff can see at a glance which horses have gaps and send the owners one message asking for them.
The vet on record can be a clinic or one vet at it (see organizations). With a vet at a clinic, the card shows the clinic too, and the clinic's number when the vet has none of their own; whatever is typed on the card itself still wins.
Horses → Emergency puts every horse on one sheet for the wall by the phone: where it is, its owner and their phone, the owner's emergency contact and theirs, the vet, and the colic surgery answer (“Yes, up to $8,000”, “No”, “Call owner”). Anything missing is marked where it would be read. When an owner is also who to call, tick Same as owner on the horse's emergency card and the sheet says so instead of marking it missing. The barn's address, phone and its own vet go at the top; set them once under Barn settings → Barn → Address and vet. Print it from the printer button. Staff only.
On the Stable plan a barn can have up to 15 horses on its records. Archived horses don't count.
