Common questions
One short answer each, with where to go. The guides have the rest.
Signing in
How do I sign in the first time? Open the invite email and choose Accept your invite. The page names your barn and your login; choose a password there and you're in. If your address is a Google account, Continue with Google works too. Lost the email? Your barn can send the invite again.
Can I sign in without a password? Yes. On the sign-in page choose Email me a sign-in link and enter your address. The email has a Sign in to 1barn button and a six-digit code: tap the button, then Sign in, or type the code on the sign-in page. It works once, for 15 minutes.
I use Google. Can I have a password too? Yes: My profile → Sign-in → Add a password. Google keeps working, and both reach the same login with the same barns. If you already have a password, the same card has Change password, which asks for the current one first.
Can I sign in with Face ID or a passkey? Yes. Under My profile → Sign-in, choose Add a passkey; your browser asks where to keep it. It works with 1Password, iCloud Keychain, and Google Password Manager. Next time choose Sign in with a passkey, or pick it from the email field, with no password to type. See Settings and your account.
I forgot my password. Choose Forgot password? on the sign-in page. We email you a link and a code; once you're in, set a new password under My profile → Sign-in.
The code never arrived. Check spam, then that you typed the address your barn invited. A Google-only login has no password; sign in with Google or an emailed link instead, then add one under My profile. Sign-in links and their codes (Forgot password sends the same email) are good for 15 minutes.
I got a page that says the sign-in took too long. A sign-in is good for fifteen minutes from the moment you tap the button. Tap Sign in again; anything you set along the way, such as a password, is kept.
Why do I land in the wrong barn? A login that belongs to more than one barn opens the first one. Email support@1barn.com and we'll set the one you want first.
How do I install the phone app? Open app.1barn.com in Safari or Chrome on your phone, or install 1barn from the App Store or Google Play where it's listed. It's the same account either way. See The phone app.
Can I install 1barn on my computer? Yes, in Chrome or Edge: open app.1barn.com, then use Install on your Account page (or the install icon in the address bar). 1barn opens in its own window, with back and refresh at the top. For a shared computer the barn uses as its time clock, open app.1barn.com/clock instead; see Schedule and time.
People and roles
What can staff do that boarders can't? Owners and staff see the whole barn: every horse, person, the facility, Sign, care, calendar, and Settings. Instructors, customers, and vendors see their own horses and what the barn shares with them. Only the owner sees Finance and changes plans. See People and logins.
How do I make someone staff? Owner only: open the person under People, and in the Login card choose the role. You can't change your own role.
Why can't a boarder see their horse? Visibility comes from the horse's parties. Open the horse, Parties, and add the person as owner, co-owner, lessee, billing contact, or agent.
How do I invite a boarder? People → New person, then Invite to sign in on their page. The link in the email is good for seven days and works once.
The invitation email didn't arrive. Check spam and the address on the person's page, then send the invitation again from the same card. If an address bounced before, email support@1barn.com and we'll clear it.
Horses
How do I add a horse? Horses → New horse, or press n then h anywhere. Name is enough to start; the rest fills in over time.
How do I archive a horse that left? Open the horse, More → Archive. It leaves the lists and the Stable plan's count, and nothing is deleted.
Where do I record a vaccination or the farrier? On the horse, Records → Add record. The next due date comes from the barn's reminder interval unless you set one. Horses → Records lists everything coming up, and files the same record for several horses at once.
How do I move a horse to another stall? On the horse, Where it lives → Move home to…, or drag it on the Facility board. The old assignment ends the same day. See The facility.
What is the emergency card? Who decides, who to call, and what the barn may do when nobody can be reached. Owners fill it in and confirm it yearly; staff see it on the horse and at Horses → Emergency → Gaps.
Daily care
How do I set up feed instructions? On the horse, Care → Add instruction: what, when, and any note. Staff check them off on the day's round. See Daily care.
Where is today's round? Horses → Care. A row per horse with today's care by round, done circles and all; Logged today underneath keeps who did what and when, and the arrows step back a day.
Sign
How do I get a boarding contract signed? Make a template once under Documents → Templates, then Send on its row (or Send for signature on Signatures): choose the signers and the horse. Each signer gets an email when it's their turn. See Sign.
Where is the signed copy? On the form's page under Documents → Signatures (Signed PDF), and saved to the horse it was about. Boarders find their own under Documents. Search by the horse, the signer, or anything typed into the form.
How do I see a value in a secure field? On the signed form's page, choose Reveal secure fields next to the field. A one-time code arrives by email and reveals it for ten minutes. Secure values never appear in search or CSVs.
Can new riders sign a waiver from our website? Yes. On the template, publish a public form and paste the link on your site. They confirm their email, sign, and the copy files itself.
Calendar, events, and service days
How do I schedule a farrier day owners can sign up for? Calendar → Add service day, pick the kind and the date, set How many horses if the provider has a limit, and save. Owners see Sign-ups open on their dashboard. See Calendar, events, and service days.
How do I put the barn calendar in my phone's calendar? Calendar → Subscribe → Add to Google, Apple or Outlook, name the link (it's suggested from your filters), choose Make the link, then Apple, Google, or copy it for Outlook. It updates on its own. Make as many as you like, one per filter. If one leaked, Subscribe → Your calendar links → Get a new link replaces just that one.
I clicked a day and got a page about my plan. Events are part of the Barn plan. On Stable, a day makes a service day instead; the owner can change plans under Settings → Plan and billing.
How do families register for a clinic? Publish the event and share the booking link, or embed the booking page from Settings → Website embedding. Paid events take the card through Stripe and hold the spot for thirty minutes.
Lessons
How does the timetable solver work? Set up a term, let instructors mark availability and families send requests, then Propose a timetable. Review the proposal and Apply it once; nothing changes until you do. See Lessons.
Can families join a waiting list from our website? Yes. Embed the waiting list from Settings → Website embedding; requests land on the term's sheet for staff to review.
Messages and files
What's the difference between a board and a message? A board is read by everyone it's aimed at; a private message goes to one person or a group, and a group needs no name. Choose Write on Messages and pick a board or people in To. Staff make a new board with + beside Boards. See Shared files and messages.
Do people get an email when I post? No. Messages live in the app and refresh on their own. For something everyone must see, post an announcement on the dashboard as well.
How do I share a file with only the boarders? Shared files → Add, then under Who it's for choose Boarders, or add one person. Staff see every file.
Plans and billing
What does the trial include? Everything on the plan you chose, for fourteen days, with nothing charged until it ends. We email a few days before with the amount and a link to cancel. See Your plan and billing.
How do I change or cancel the plan? Owner only: Settings → Plan and billing. Moving up takes effect right away; moving down at the next renewal; cancelling keeps the barn open to midnight, barn time, on the last day you've paid for. Afterwards any owner can restart it from the same page, and the records are kept for 90 days (more).
Where are my receipts? Settings → Plan and billing → Card and invoices opens the billing portal with every invoice and the card on file.
How do I move to the Barn plan? Barn is open. The owner goes to Settings → Plan and billing and clicks Upgrade to Barn; Sign, Files, Messages and Events appear in the menu right away, and the difference is prorated on the next invoice. When does Program open? It's opening a few barns at a time. Join the waiting list on the pricing page or under Plan and billing, and we'll email you the day it opens.
My card was declined. Is the barn closed? No. Stripe retries over a few days and the barn stays open meanwhile. Update the card under Card and invoices.
Assistants and support
Where did Search and the Assistant page go? For staff, the search box at the top of the sidebar is now Ask: it still finds horses, people and pages, and it asks Ask 1barn when you type a question. ⌘K opens it as before. The full-screen Ask 1barn page left the menu; open it with ⤢ from the Ask box. See Ask 1barn.
How do I connect Claude or ChatGPT? Find 1barn in Claude's connectors or ChatGPT's apps, choose Connect, and sign in with your 1barn login. See 1barn in Claude and ChatGPT and What you can ask.
How do I reach a person at 1barn? Click Help in the bottom corner of any page on a computer (after the first time it's just the question-mark bubble), or open Help and support from the menu behind your name, from My profile on a phone, or from ⌘K. The assistant answers first; choose Talk to a person and we reply there and by email, usually within office hours. Or email support@1barn.com.
Can Ask 1barn answer questions about 1barn? Yes. It searches this help center and answers with a link to the article. When the answer isn't here, or it's about billing or a bug, it ends with Write to 1barn Support, which opens 1barn Support with your question in the box; nothing is sent until you press Send. See Questions about 1barn itself.
Not here? Ask in the app: Help and support answers from these pages and your own barn's records, and hands you to a person when it can't.
