Settings and your account
Settings is about the barn and is for staff. My profile is about you, and everyone has one.
Two pages, two kinds of thing
Barn settings (press g then ,) holds what the barn is and how it runs: its name, plan, spaces, program, and payments. It's behind the barn's name at the top of the menu, with Plan and billing for the owner. Its tabs: Barn (name, contact, branding), Plan and billing, Team (managers and what they may do), Payments (Stripe, and how lessons are billed; on Barn and Program), Program, Staffing, Events (event types, categories and the add-ons they sell, and how deposits' balances are collected; see Calendar and events), Space types, Website (sign-up and booking embeds), and Assistant; you see the ones your role uses, and ⌘K jumps to any of them. Only staff see it, and a few cards are for the owner alone. My profile (press g then a) holds what is yours alone: your name, picture, theme, and menu order. It's behind your name at the bottom of the menu, with Help and support and Sign out. Nothing there changes what anyone else at the barn sees. In the phone app, both are under More, the bar's last tab.
The menu groups the barn's paperwork and business: Documents has tabs for Signatures (what was the Sign page), Templates and Shared files; a boarder's Documents is one page of their own forms and files, and Admin has Finance (for the owner, or a manager allowed it) and Reports. Each tab has its icon, and ⌘K jumps straight to any of them.
Company profile
The first card on Settings. Barn name, Timezone, the logo, and a Primary color and Secondary color. The colors and logo dress your public booking page; the preview beside the card shows how it will look. There are two logo slots: Logo, as it reads on white (booking pages, emails, and light screens), and Logo for dark backgrounds, a version with white or light lettering. The app's menu is dark on most themes and in dark mode, and there it shows the dark-background logo; leave that slot empty and your logo sits on a small white tile instead. In the phone app the logo also shows beside the Dashboard greeting. Each slot has Upload (or Change) and Remove, and saves as soon as the file is in. The timezone is the barn's own: the care round, service days, and lesson times are all read in it. Any staff member can change these; Save profile applies them. Weeks start on is Monday unless you pick Sunday, for the week and month views staff schedule from (families' calendars stay Sunday first). Schedule changes wait until they're published keeps new and changed shifts and lessons with staff until someone publishes them (see Draft and publish).
Plan and billing
Owner only. The card shows your plan and whether you are on the free trial, and opens Plan and billing:
- The plan panel lists Price, Trial ends or Next charge, and any Discount with the date it ends.
- Card and invoices opens Stripe's billing portal, where you change the card and download past invoices.
- Change plan switches between Monthly and Yearly · two months free and between Stable, Barn, and Program; each button says Upgrade, Downgrade, or Switch, and asks you to Confirm.
- Cancelling keeps access until the end of what you have paid for; the panel then reads Access until instead of Next charge.
A plan that isn't open yet (Program, today) reads Opening soon · join the waiting list. Joining puts your email on the list and changes nothing on your account.
Space types
What sorts of space the barn has: stalls, pastures, runs, or your own. Each type says whether it is Somewhere to live, whether it counts as A turnout, how many horses it Holds by default, and which other types it Can be inside (a stall inside a barn, a pen inside a pasture). Add a type takes a Name, Holds how many, by default, and an Icon. A type you no longer use is archived, not deleted, so old assignments still read correctly; Restore brings it back. Staff can change these.
Staffing
Shown on the Barn and Program plans to whoever manages staffing: the owner, and anyone the owner names as a manager, even if they aren't an owner. It is the setup behind Schedule, in three pages listed under Staffing in the settings menu (on a phone, Staffing opens a short list of the three):
Scheduling, where Staffing opens: Work types with their default rates, Lesson time (shifts made from the lesson calendar), Offers, time off and availability, and the Labor budget.
Time clock: Clocking rules (early and late, lateness, off schedule, approval, rounding, the longest shift, and where people clock in), Time clock devices, and Time-clock codes, which links to each person's page. Time clock devices are the tablets and phones that run the time clock, each with when it was paired and last used, Pair a new tablet for a QR code and an 8-character code that pairs the 1barn Time Clock app (15 minutes, one use), Unlock now for a keypad locked by wrong codes, Rename, and Revoke.
Pay, for the owner and managers with the Pay permission: Pay periods and overtime (with what holidays pay and the weekend rule), Pay rates, which links to each person's page, Time-off policies (the kinds of paid time off, such as vacation and sick time, how each is earned and its limits, with a one-click 1-hour-per-30-worked sick-time policy, and what paid time off is paid at), and Holidays, with paid holidays and who gets them.
Changing them is the owner's, or a manager's with the Settings switch under Managers. One person's rates, time-off balances and code are on their own page under People, in Pay and time clock. The Schedule and time guide covers each card.
Under Time clock, Where people clock in has two switches. Clock in from the web is off to begin with. Off, everyone clocks in on the barn's tablet with their code. On, a shift whose own Clock in from the web switch is on (in the shift form) can be clocked from the person's login, on the website or the phone app, from a few minutes before it starts; the dashboard shows them a Clock in card for it. Unscheduled time and every other shift stay on the tablet. With it on, Lesson time under Scheduling adds Instructors may clock in for those shifts from the web for shifts made from the lesson calendar. One person can be set apart from it on their Employment card (Can clock in from the web and app: Allowed or Not allowed), and the line under the switch says who, such as "Off for the barn · on for 2 people".
Clock in without a shift is on to begin with: someone with no shift right now can still clock in on the tablet by picking what they're working on, and the time is marked unscheduled (it waits for a manager unless Approval is None). Off, the tablet only clocks people in for a scheduled shift and asks anyone else to have a manager add their time; clocking out always works, and a manager can still add time by hand.
Also under Lesson time, Lesson time inside a longer shift is paid at decides how an instructor who clocks in once for a whole day is paid for the lessons they teach during it: the Lessons rate (to begin with), where payroll moves that time to their Lessons line, or the shift's own rate, where one clock-in is one rate. Either way their lessons are part of their shift on the schedule, never a second one. Pay instructors for cancelled lessons is Never, When cancelled within N hours of the start (24 to begin with), or Always; a manager can change it on any cancelled lesson.
Ask 1barn can change these too. Ask it what the clocking rules are, or tell it what to change: "Turn on Prevent early clock-ins", "Let people clock in 10 minutes early", "Pay overtime after 40 hours". It shows each setting as it is now and as it would be, and changes nothing until you apply it. It follows the same rules as this page: the Settings switch for managers, and Pay too for pay periods, overtime and holiday pay. Work types, holidays, time-off policies and time clock devices can be changed the same way, and so can space types, vendor types, event categories, records email, what contacts see and your own name and look; keys, billing, payments and uploads stay on their pages.
Lesson program
Shown when the barn has the lesson program. Disciplines, comma-separated and Rider levels, beginner first are the words the program uses everywhere: on requests, on each horse's program settings, and as hard rules for the solvers. Keep the level order right, because the solver reads it as a ladder. Staff can change these.
Lesson billing
Owner only. Choose how lessons turn into charges: Per lesson, when taught; Per lesson, when booked; Monthly, a flat Monthly amount, $ per student that you post each month from Finance; or By hand, where nothing is posted automatically. Usual lesson price, $ is the default a new lesson starts with. When a lesson is cancelled decides the family's charge: Credit the family back (to begin with), Credit only when cancelled more than 24 hours ahead (later cancellations and no-shows keep the charge), or Keep the charge. The barn's own cancellations are always credited, and you can change it on any cancelled lesson.
Assistant
The owner, or a manager with the settings permission. Ask 1barn, the assistant inside 1barn, runs on 1barn's AI (Light is included in every plan; Plus, Pro and Max add more questions and are bought right there) or on Your own key: pick a Provider (Anthropic or OpenAI), optionally a Model, and paste the key. The card only ever shows the last few characters of what is on file. This month shows the barn's questions against its allowance and how many each person asked. This is separate from connecting Claude or ChatGPT to 1barn as a client, which is covered in the Assistants guide.
Website embedding
Copy a snippet for your own website. Event booking embeds your public events, narrowed by Category or to one Specific event; Lesson waiting list embeds the request form for your program. Copy snippet puts the code on your clipboard; paste it where your site builder takes HTML. A public form for a contract or waiver is published from the template itself under Documents → Templates, not here.
Payments
Connect with Stripe links your Stripe account so events and camps can take cards. Money goes straight to you; 1barn never holds it, and payouts, refunds, and receipts live in your Stripe dashboard. 1barn adds a 1.2% fee to the card and bank payments it processes, taken from your Stripe payouts (never your customers' bills) and refunded in proportion with any refund. Below the connection you can Allow tips at checkout and set a Convenience fee percentage, then Save payment settings. Disconnect Stripe asks you to confirm; it stops new payments until you reconnect and leaves your Stripe account and its history alone.
With tips on, checkout shows three tip tiles, each a percentage of what's bought (the event and its add-ons, never the fee) with its dollar amount under it, plus No tip and Custom. Nothing is picked until the family taps one. Set the three percentages (15, 18 and 20 to start), the price under which the tiles show dollar amounts instead ($3, $5 and $10 under $30 to start), and, if you like, Show a label under each tile with up to 24 characters each. A preview shows the tiles at a $45 price as you type.
Events
Event types lists what the barn offers, each with its description, price, form, waiver, policies, payment terms, reminders, and add-ons; change one and every event of that type follows, except a price an event set for itself. Categories group them, and Add-ons are the extras they sell. Balances sets how a deposit's balance is collected unless a type says otherwise: Auto-charge the saved card (the default), Payment link, or Pay at the barn (check or cash). See Deposits and balances.
Forms
One library of question forms for the whole barn, such as "Fall vaccinations", "Farrier visit", or "Camp registration". Each form is tagged with where it's offered (Service days, Event types, Events) and, for service days, optionally the kinds of day it's for. A day, a type, or an event starts from a form and follows it until someone edits its own copy, so saving a form changes the questions on everything still following it. Duplicate and Archive are under each form's ⋯; archiving keeps the questions wherever the form was used. See Service day questions.
Managers
Who the managers are, and four switches the owner sets for all of them: Pay, Finance, Logins and Settings. See What managers can do.
My profile
- Profile: your name as the barn sees it, and your picture. Upload a picture (JPEG, PNG, or WebP, up to 5 MB) opens Frame your picture, where you drag and zoom to crop before saving.
- How you pay appears only if the barn bills you. Save a payment method opens Stripe to store a card or bank account; once something is on file the button reads Replace it.
- Time format: Automatic (the default), 1:30 PM, or 13:30. It sets how every time reads, on the schedule, lessons, messages and reminders, and how you type one in (the hour, the minute, and AM or PM on a 12-hour clock). Automatic follows your phone's own 24-hour setting in the 1barn app, and your browser's language region on the web. It's yours alone: everyone at the barn picks their own.
- Color mode: System, Light, or Dark. Theme picks a color set, and Make your own lets you set each color yourself; Use my theme applies it and Update my theme saves changes to it.
- Menu order: drag items (or use the arrow keys) under On the web for the sidebar and In the app for the phone. The phone's bar shows the first four as tabs, then More, always last; everything else is in More, in this order. For staff, Ask is a row too, fourth by default. Save order keeps it.
- Sign-in says how you sign in: Google, your email and password, or both. Add a password (for a Google login, or one the barn made for you) asks for a new password twice, with the rules shown; Google keeps working, and both reach the same login. With a password, the button reads Change password and asks for the current one first. Anyone can also use Email me a sign-in link on the sign-in page, which is also what Forgot password? does.
- Passkeys, on the same card, sign you in with Face ID, Touch ID, your phone, or your password manager, with no password and no email. Add a passkey opens your browser's own window, so the passkey can go wherever you keep passwords: 1Password, iCloud Keychain, or Google Password Manager. Each one shows its name, when it was added, and when it was last used; Rename it, or Remove it to stop it signing in at once. On the sign-in page, choose Sign in with a passkey, or pick yours from the email field's suggestions.
- Connected apps lists the AI apps (ChatGPT, Claude) you've connected to 1barn; see Connected apps below.
- Sign out ends your session on this device only.
Your email address is your login, so it is not edited here. If it needs to change, ask the barn to invite the new address and link it to your person record.
Connected apps
When you connect ChatGPT or Claude to 1barn (see 1barn in Claude and ChatGPT), it works as you, with what your login can see and do at each barn. My profile → Connected apps lists each one: the app, the day you connected it, when it was last used (to the hour), and the barns it reaches, which are all of yours. Disconnect asks once more, then stops it at once at every barn: its next request is refused, and it has to be connected again from ChatGPT or Claude before it works. Sign out everywhere, under Sign-ins, disconnects every app too.
Your barn's owner, and managers with the Logins permission, see how many apps you have connected that reach their barn, on your page under Roles and access, and can disconnect them there. That stops them at that barn only; your other barns keep them. Connecting and disconnecting are written in each barn's Activity under Security (“connected ChatGPT”, “disconnected Claude”); what an app does is logged as the change it made, from “Connected AI app”.
Apps connected before October 19, 2026 aren't listed: 1barn didn't yet record whose each connection was. They keep working as your login. To see one in the list, disconnect it in ChatGPT or Claude and connect it again; Sign out everywhere ends them all.
Notifications
Under My profile → Notifications, each kind of notice that fits your roles here has a Phone and an Email switch: your schedule changing, before your shifts, weather before your shifts, offered shifts, trades and time off, your lessons changing, before your lessons, closing pay periods (for the owner and managers with Pay: the morning a pay period ends, and one email if it's still open two days later), and messages. Phone means the 1barn app on your iPhone or Android phone. Your schedule and your lessons changing, and closing pay periods, come by both to begin with; the rest by phone only. Pick how far ahead shift reminders come (an hour, two, twelve, or the day before), and whether lesson reminders come the evening before or two hours before. The choices are yours alone and apply at every barn you belong to; every email says where to change them.
The barn's own side of the weather heads-up is under Settings → Notifications: on or off for everyone, and how big a change counts (a feels-like swing from yesterday, 15°F to begin with, and wind over 15 mph). The owner, or a manager who can change settings, sets it. See Weather at the barn.
Deleting your account
At the bottom of My profile, on the web or in the phone app, Delete account… shows what goes and what stays, then asks you to type your email address to confirm. Your login goes, with every way you sign in (password, Google, Apple, passkeys), and you are signed out everywhere. Your profile goes too: name, picture, settings, and your phones' notifications. Each barn you belonged to keeps its own records about you, such as your contact details, horses, lessons, time entries, signed documents, and payments, without the login; anything you wrote there shows as “Deleted account”. Ask the barn if you want those removed as well.
If you are the only owner of a barn, make someone else an owner first (People, their login, Owner), or contact support to close the barn. It can't be undone; signing up again later starts a new, empty account.
