What you can ask an assistant
Prompts that work on any barn, grouped by what you're trying to get done. Reading is immediate; writing is confirmed first.
Every call runs as you, with the role your barn gave you: staff see the barn, a boarder sees their own horses. Before anything is written the assistant says what it's about to do and waits for a yes. Anything that can't be undone (void, end, cancel, transfer, charge) is confirmed plainly. Values in secure form fields are never returned; they open only in 1barn, after an emailed code.
Horses and records
- What's due in the next 30 days? Shots, farrier, dental, deworming, and paperwork about to lapse, overdue first.
- Which horses have no Coggins on file at all? The gaps a due list never shows.
- The vet gave Apollo his spring shots today, lot 4471. Asks you to confirm the record, writes it, and tells you when he's next due.
- Blaze's Coggins expires March 12, number 22-0187. Confirms, then sets the renewal.
- Who do I call if Apollo colics tonight? The emergency card: vet, after-hours number, surgery authority, spend limit, and when a person last confirmed it.
Records email
- What's waiting in the records inbox? Each email with its sender, subject and files, and the records the AI found in it. Never the email's text; that opens in 1barn.
- Add the Coggins from Dr. Kim to Blaze's records. Reads you the details the AI wasn't sure of, confirms, then adds it with the email's files attached.
- Approve the clinic that emailed us yesterday. Owner or manager only. Says plainly that their email will be read by AI (Anthropic) from now on, and asks you to confirm.
Daily care
- What's on today's round, and what's still unchecked? Everything logged, then everything flagged not done.
- What's Blaze on, and what changed last month? Feed, hay, supplements, medication, blanketing, with the history.
- Put Apollo on two scoops of Senior, AM and PM, from Monday. Confirms, then adds the line; say which line it replaces and the board keeps its history.
- Daisy left half her breakfast. Confirms, then logs it as skipped with your note, which leads the day's round.
- Take Blaze off the omeprazole. Confirmed plainly, since it ends the instruction.
People and logins
- Add Jane Doe, jane@example.com, as a boarder and invite her to sign in. Confirms, creates the person, and emails the invite.
- Make Sam an instructor. Changes what Sam's login may do; owner only, confirmed plainly.
- Who owns Apollo, and who gets the bill? Owners, lessees, and billing contacts, with shares.
- Apollo was sold to the Garcias on the 1st. Confirmed plainly: ends every current ownership and starts the new one the same day.
- Which horses have ownership that doesn't add up? Nobody on record, shares off 100%, no one to bill.
The facility
- Where is everyone? The space tree with its occupants.
- Which stalls are open, and which horses have no home? Empty spaces, then horses with no home or no turnout.
- Move Blaze to stall 6. Confirms, then moves him and ends his previous home.
- Turn Daisy out in the back pasture. Confirms; her stall is untouched.
- Add Turnout 7, holds two. Confirms, then adds the space.
Sign
- Find the signed boarding contract for Apollo. The signed form, who signed and when, and a link to open it.
- Send the hold harmless to Bo Nguyen, bo@example.com, filed under Apollo. Confirms the signers, then creates and sends the form.
- Remind whoever is holding up the Garcia contract. Confirms, then re-emails that signer a fresh link.
- Publish the new-rider waiver as a public link. Confirms, then returns the URL for your website.
- Void the draft lease for Daisy, wrong PDF. Confirmed plainly; signers are notified.
Calendar and service days
- When's the next farrier day, and who's signed up? The day, the provider, the list, and spots left.
- Is Blaze down for the dentist? Days still open for sign-up, with your horses not yet on them.
- Schedule a vaccine day on the 14th with Dr. Lee, eight spots. Confirms, then puts it on the calendar.
- Sign Apollo up, hinds only. Confirms, then adds him with the note for the provider. An owner can do this for their own horse.
- Take Daisy off the farrier list, she's sold. Confirmed plainly.
- Which horses need a Coggins on the Oct 22 vet day? Reads the day's answers ("Extra services" includes Coggins) and the papers on file, so it can also name a horse whose Coggins runs out soon but whose owner didn't ask.
- Who hasn't answered for the vet day? Remind them. The horses waiting on their owners, then a reminder to each, confirmed first.
- Email the vet list to Dr. Shaw, without staff comments. A change card lists the recipients, any attachments, and whether staff comments go; then it sends the live sheet link. A vendor with no email is named, not skipped silently.
Lessons
- What's on the lesson calendar this week? Lessons with times, arena, instructors, horses, and students.
- Which horses could take a beginner dressage lesson Tuesday at 4? The horses that fit, and why each of the others doesn't.
- Open a spring term, March 2 to May 22, rolled over from winter. Confirms, creates the term, and copies availability and requests in as pending.
- Set Maria's availability for spring: Monday to Thursday, 3 to 7. Confirmed plainly, since it replaces her whole week.
- Propose a timetable for spring. A draft: placements, what couldn't be placed and why. Nothing reaches the calendar until you say apply it, which is confirmed plainly and runs once.
Messages
- What's unread? Your conversations with unread counts and the last message of each.
- Read the thread about the arena footing. Members and the latest messages.
- Tell the barn the arena is closed Friday for footing. Confirms the wording, then posts it to the public board.
- Message Jane that Apollo's shots are done. Confirms, then starts a private conversation or posts to the one you have.
- Reply to Sam's post that I'll take Saturday. Confirms, then comments on the post.
Events
- Which clinics are published, and how many seats are left? Events with sessions, capacity, and seat counts.
- Who's registered for the June clinic, and who hasn't paid or signed? Every registrant with payment, waiver, and form answers.
- Give me the emails of everyone confirmed for the show. One deduped list.
- Export the clinic registrations as a CSV. Registrants and their form answers as CSV text.
- Cancel Pat's registration and refund them. Confirmed plainly; emails Pat and refunds through Stripe.
Finance (owner only)
- Who owes us, biggest first? Every balance. A client can ask for their own account.
- Record a $150 check from the Garcias dated the 3rd. Confirms, then posts the payment.
- That charge should have been $120, not $150. Confirms, then writes a reversing entry and a corrected one, both pointing at the original.
- Send the Nguyens a link to put a card on file. A Stripe-hosted link; nothing is typed into 1barn, and the assistant only ever sees a label like Visa ·4242.
- Charge everyone on file now. Confirmed plainly; reports who was charged, who failed, and who owed nothing.
Chaining it together
Longer asks read first, then stop once for a single confirmation that lists everything about to change.
- Which horses are due for a Coggins this month? Sign them all up for the vet day on the 14th. One confirmation naming every horse, then the sign-ups.
- Find everyone with no waiver on file and send them the new one. Lists them, confirms the signers, sends each of them the form.
- Roll winter over to spring, propose a timetable, and show me what's unplaced. Stops at the proposal; applying it needs its own yes.
- Who failed this morning's charges? Send each a card link. The failures, then a confirmation before the links are sent.
1barn also has an assistant inside the app, Ask 1barn, for the barn's staff: ask from the Ask box (⌘K) on any page, or the Ask tab on a phone. It answers the same questions but proposes changes as cards you apply with a click; the Claude and ChatGPT connectors act themselves once you confirm.
